Description:DESCRIPTION:
Field of the invention:
[0001] The present disclosure generally relates to the technical field of a system and method for event planning, and in specific, relates to a system that facilitates the creation of family trees, and integrates event planning with a vendor marketplace, and enables for guest lists preparation for an event.
Background of the invention:
[0002] Event planning has evolved significantly over the years, driven by technological advancements and the increasing complexity of social gatherings. Traditionally, planning events, especially family-oriented ones, involved a series of manual processes that required considerable time and effort. Users often faced challenges such as organizing guest lists, sending invitations, and coordinating with multiple vendors. As a result, many people found themselves overwhelmed by the intricacies of event organization, which detracted from the enjoyment of the occasion itself.
[0003] The current market features a variety of applications designed to address specific aspects of event planning. For instance, numerous platforms focus solely on guest list management, while others cater to vendor selection or invitation distribution. However, this fragmentation often leaves users needing to employ multiple apps to manage their event planning comprehensively. As a result, users encounter inefficiencies, such as duplicated efforts in data entry, inconsistent guest information, and difficulties in tracking RSVPs across various platforms. The absence of a cohesive solution leads to increased stress and potential oversights in event organization.
[0004] Family trees have long been a fundamental way to visualize family connections and relationships. However, many individuals lack an organized system to maintain and access this information. This limitation makes it challenging to compile accurate guest lists for family gatherings, leading to further complications in event planning. A tool that integrates family tree management with event planning could greatly enhance the user experience by leveraging existing family data to streamline the process of organizing family events.
[0005] Traditional methods of event planning pose several challenges, including manual guest list compilation, inefficient communication, time-consuming vendor research, inaccurate attendance estimates, and a lack of integration. Creating guest lists can be tedious, especially when family relationships are complex and not well-documented. Sending invitations via various channels-such as email, text, or physical mail-often results in difficulties tracking responses and managing RSVPs.
[0006] Users frequently spend significant amounts of time searching for and contacting vendors for event services, creating a disjointed planning experience. Additionally, relying on informal RSVP methods leads to unreliable attendance estimates, complicating catering and resource management. Without a centralized platform, users face the burden of managing multiple tasks in isolation, which can lead to confusion and errors.
[0007] In existing event planning and management technologies, a method is introduced that enhances the process by automating key tasks. The method involves communicating an event invitation to a guest device, receiving at least one reply or an event attendance venue from the guest, and automatically determining the guest's location based on the event venue. It then generates a purchase order for the guest, factoring in their first location, a second location, and input from a host device.
[0008] The purchase order is automatically sent to a vendor at a predefined time prior to the event. Invitations include event details, host, guest, activity, budget, vendor information, and reward options. However, inaccuracies or unavailability in guest or venue location data may lead to incorrect purchase orders or miscommunication with vendors, causing logistical problems. Furthermore, the fixed schedule for sending purchase orders may be problematic if last-minute changes occur.
[0009] Therefore, there is a need for a system for family tree creation and event planning with integrated vendors that streamline their event planning efforts. There is also a need for a system that addresses the shortcomings of existing solutions by offering a comprehensive platform, which unifies these functions. There is also a need for a system that enhances user experience and ensures accurate planning, ultimately transforming how individuals organize family events. Further, there is also a need for a system that simplifies the complexities of organizing family events, thereby making the process enjoyable and efficient.

This ensures that users can access the system 100 from multiple devices, enhancing the flexibility and accessibility of the system 100.
[0058] In one example embodiment herein, the RSVP (Répondez S'il Vous Plaît) system is designed to send digital invitations directly to the invitees listed in the guest list generated by the generation module 114. This guest list is created automatically from the family tree or manually inputted by the user. The system 100 uses various communication channels such as email, SMS, or in-app notifications to deliver the invitations efficiently. Once the invitations are sent, invitees can respond directly through the feedback module 118.
[0059] The RSVP system tracks responses in real-time, allowing the user to see who has accepted, declined, or not yet responded. This functionality eliminates the need for manual tracking and greatly enhances the accuracy of attendance predictions. It continuously updates the status of each invitee and notifies the user of any changes, ensuring up-to-date information on the guest list.
[0060] For invitees who have not responded to the initial invitation, the RSVP system sends automated reminders at predefined intervals. The user can customize these reminders based on the time remaining before the event. This feature ensures that event planners get responses in a timely manner, reducing uncertainty and last-minute guesswork. The RSVP system automatically estimates attendance based on the responses received. It provides the user with a clear overview of how many invitees have accepted, how many have declined, and who is still undecided. This information is crucial for resource planning, including food, seating, and venue capacity.
[0061] In addition to the standard "Accept" or "Decline" options, the RSVP system can include custom response fields for dietary preferences, transportation needs, or other event-specific details. This allows invitees to provide additional information that can be useful for event logistics, further simplifying event planning. Since the system 100 is integrated with a family tree, the RSVP system supports group responses for family members. For instance, a head of a family unit can RSVP on behalf of the entire family, streamlining the process for family gatherings or larger events where multiple members are invited from the same household.
[0062] The system 100 generates reports based on the RSVP responses, offering insights into attendance patterns, response times, and other useful metrics. These reports help the user make informed decisions about final arrangements, ensuring that all aspects of the event are aligned with the expected attendance. The RSVP system is accessible across multiple platforms, including mobile devices and desktop applications. This ensures that users can easily respond to invitations no matter what device they are using. The system's intuitive interface makes the response process quick and user-friendly.
[0063] In addition, as the users update their RSVP statuses, the system 100 dynamically adjusts the guest list. For example, if the invitee initially declines but later changes their mind, they can update their response in the feedback module 118 then the family tree creation module 112 will automatically adjust the event's attendance list and notify the user of the change.
[0064] According to another embodiment of the invention, FIG. 2 refers to a flowchart 200 of a method for preparing the system 100 for family tree creation and event planning with the integrated vendor marketplace. At step 202, the registration module 110 enables the user to register into the system 100 by providing the user credentials. At step 204, the family tree creation module 112 enables the user to provide family members' data for creating the one or more family trees via a user interface. At step 206, the event creation module 113 enables the user to create one or more events by providing the event data. At step 208, the generation module 114 generates the guest list for the event based on the family member data in the family tree.
[0065] At step 210, the invitation module 116 enables the user to send the digital invitation to each family member in the guest list using an RSVP system. At step 212, the feedback module 118 enables the invitees to provide real-time responses for estimating the event attendance. At step 214, the vendor marketplace module 120 enables the user to search the plurality of vendors in the curated vendor marketplace, thereby enabling the user to select and collaborate with at least one of the plurality of vendors based on various parameters.
